JOB SUMMARY:

The marketing events specialist will coordinate tasks within the events team which include tradeshow, user conference, and local events logistics and support.  Responsibilities may include purchasing, ordering, advertising, shipping, troubleshooting, reporting, organizing, printing, research, data entry, and data collection on multiple event types.  The events specialist must have exceptional organizational skills, verbal and written communication skills, and customer facing skills.  Candidates must be familiar with standard concepts, practices and procedures within the marketing and events industry.   This role plays a critical role in representing the company to customers and prospects, and will report to the Senior Manager of Events.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Ensures that the company and company brand is properly represented
  • Represents the company in a variety of events by familiarizing themselves with corporate marketing goals, campaigns, products, services, and initiatives
  • Researches and suggests venues and entertainment, and third-party supporters for events
  • Assists with AV, food and beverage, and production as needed 
  • Coordinates inbound and outbound shipping for all events
  • Assists with inventory, storage, ordering, and organization of all event related materials and equipment.
  • Assists with printing event related materials such as name badges, certificates, etc
  • Assists with data collection for all event related needs.  Including, but not limited to head shots, bios, session titles, descriptions, etc.
  • Assists in ordering booth furnishings, carpet, electrical, name badges, and lead retrieval for tradeshows.
  • Assists in travel bookings when needed
  • Assists in event staffing and communication efforts where needed
  • Maintains ongoing data on spreadsheets
  • Adheres to all event management processes and flows
  • Manages front line group email responses. 
  • Manages registration edits and updates. 
  • Responsible for adding copy to martech tools such as cvent, surveymonkey, domo, salesforce, pardot, kapost, trello etc.
  • Responsible for testing event technology
  • Imports lead info from business cards to excel spreadsheets within 24 hours of event ending
  • Maintains events reports

REQUIREMENTS

Travel

Travel is required to the annual Masters Summit for this position.  (estimated 6 days annually) + any potential backup as needed.

PHYSICAL DEMANDS AND WORKING CONDITIONS

  • Ability to operate a computer keyboard and mouse at a desk for extended periods.
  • Ability to communicate effectively via face to face, telephone, email, etc.
  • Ability to travel if needed.
  • Ability to set up, take down, and properly store heavy materials typically associated with event equipment, and graphics.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.).
  • Technical aptitude with the ability to quickly learn new software features and applications.
  • Mastery of planning, coordination, and task prioritization skills.

SalesForce, Cvent, Trello, and Kapost systems knowledge are a plus.

EDUCATION AND TRAINING:

  • 1-3 years of experience in event planning, event management and event coordination.

Prior experience managing trade shows and other events for corporate entities.
